Roughly two-thirds of any tender Kaipara submitted asked for capability, safety, and compliance information they had already written up many times before, but each bid was rebuilt from scratch under deadline pressure. Answers drifted between submissions, and the bid team turned down work they could have won simply because there was no time to write the response.
Our approach

Built an assistant that drafts each tender section from Kaipara's library of previously approved responses, showing which past submission each passage came from

Flagged any question with no close prior answer as needing to be written fresh, rather than letting the assistant improvise a response on a topic the firm had never formally addressed

Required bid manager sign-off on every section before submission, with the assistant's draft treated as a starting point rather than a finished answer
