Marchmont's working standards ran to several hundred documents, and in practice most questions about them went to the same four senior engineers. Answers varied depending on who was asked and how recently they had read the relevant section, and the senior team was losing hours a week to questions the documents already answered.
Our approach

Built a retrieval assistant that answers only from the approved standards library and cites the specific document and clause behind every answer

Made the assistant decline rather than infer when no source covers the question, routing those to the senior team as genuine gaps in the documentation

Fed the declined questions back into a quarterly review, so the gaps the assistant surfaces become documentation work rather than repeat interruptions
